The problem
Having implemented a global corporate employee expense management
system VISA Australia were having to re-key corporate expense data
into their main financials system. This tedious data input overhead
was a burden to the accounts department they wanted to eliminate.
VISA sought out a partner with a proven track record in integrating
third party application with software to tie the two systems
together.
Our solution
We created an integrated project team
consisting of employees skilled in
analysing business processes and
accounting systems integration.
After an onsite meeting to analyse and
gather requirements from the VISA
accounts department we were able to map
the relevant business processes and
present a proposal for a software tool
to transfer the data directly into
QuickBooks. We succeeded in eliminating
the need to re-key expense data and
enriched the transfer of information
providing timelier and better analysis
of corporate spending.
The outcome
Since implementing the transfer
utility VISA no longer have to spend
several painful days a month manually
inputting corporate expense data into
QuickBooks. With several quick
steps all expense data is automatically
entered to the relevant cost centres,
giving a timelier and more accurate
snapshot of spending within minutes.

The problem
The purpose of the project was to
centralise the corporate management
functions of the Shell Direct service
station network into one business
platform, located in Adelaide, South
Australia. Shell directly operates over
70 service stations across Australia.
Our solution
Zed-Systems were invited to form a
software consortium to develop a new
solution that would put Shell in a
dominant market position. We instilled
rigor into Shell software development
life cycle and helped refine the
architecture and framework for back
office systems. We provided design,
system architecture consulting and
project management services which
designed and installed a Back Office
System for service stations across
Australia. Specifically the
solution employed the latest in ASP.Net
technologies to tie retail POS
information in real time to the Shell
ERP system.
The outcome
The consortium assisted Shell to
boost the performance of its retail
operations by enabling:
- Real-time information management
and flow between the retail
operations and head office
- Improve purchase order
processing and managing stock
replenishment.
- Remote real time management of
unmanned service stations
- Remote management of POS systems
in manned service stations
Service provided: Web Service (SOAP) interface to QuickBooks
(Web Connector)
The problem
Thousands of McDonalds restaurant that use QsrSoft's Dotcomm
system to manage POS and payroll, were spending unnecessary hours
re-keying time and payroll data into QuickBooks in order to produce
the fortnightly payroll. With some chains in excess of 500 employees
this was adding a significant administrative overhead to HR
departments in addition to a delays in processing payroll and
headaches with keeping employee data update to date. They needed to
get this data into QuickBooks in a timely and efficient way.
QsrSoft approached us because of our experience of the QuickBooks
Web Connector and building SOAP based web service interfaces to
QuickBooks.
Our solution
Utilising our experiencing in designing and building Axis SOAP
based web service interfaces to QuickBooks and implementations of
the QuickBooks
Web Connector. We we were able to design a simple and
effective way to periodically extract the employees and employee
clock data, transform, translate and import them electronically into
QuickBooks via a SOAP based web service.
The outcome
We assisted QsrSoft to boost its customers operations by
enabling:
- Improved information management between the time clock system
and the payroll managed by QuickBooks
- Eliminated the need to rekey time clock data into QuickBooks to
manage hourly wages
- A more accurate and timely analysis of payroll and costs

The problem
Due to a rapid uptake of the Invisalign product range the company
were receiving an ever increasing number of paper invoices which had
to be re-keyed, items re-coded and amounts converted into home
billing currencies in QuickBooks before invoices could be dispatched
to customers. Leading to an unmanageable administrative overhead and
the possibility of data input errors leading to incorrect, late
billing and lost revenue.
Zed Systems were engaged by Invisalign to design and implement a
system to tie the "Virtual Invisalign Practice" web ordering system
to the companies back office financial systems to eliminate the
re-keying of orders, improve cash flow and improve customer
satisfaction by reducing data processing errors.
Our solution
Working alongside the Invisalign team we were able to design a
simple and effective way to periodically extract the orders,
transform, translate and import them electronically into QuickBooks
using the Zed Transaction Importer for QuickBooks utility. We worked
with the Invisalign team to install, configure, train and maintain
the system - to unsure a smooth transition.

solution for Invisalign. It takes advantage of the power and
reliability of the QuickBooks xml interface combined with
customisation to meet the unique needs of their organization.
