Error: This employee is set to have activities transferred to paychecks. Activities for this employee must have a payroll item
You may get the following error when updating QuickBooks using the QuickBooks Web Connector "There was an error when saving a TimeTracking.  QuickBooks error message: This employee is set to have activities transferred to paychecks. Activities for this employee must have a payroll item."

Cause:  The Time Entries that you have approved and are pending download to QuickBooks do not have a payroll item selected.  QuickBooks requires a payroll item for all employees that have the option set to "Use Time Entries to create paychecks".  If no payroll item is selected then QuickBooks will reject the time entries.  Usually Zed Office will check to make sure if required that you have selected a payroll item, but in some instances Zed Office may not have been updated with that information.

This error may have occured because when adding the Zed Office Web Service application to QuickBooks the first time you used the QuickBooks Web Connector the the option to "Allow this application to access..." was not checked.  Alternatively you may have recently in QuickBooks changed the option on the employees record to "Use Time Data to create paychecks" and Zed Office has not updated that information. 

Solution:

  1. Check that you have given the Zed Office Web Service sufficient permissions to access payroll items, you can view that if in QuickBooks you go to Edit > Preferences > Integrated applications, select the Zed Office Web Service and click the properties button, finally make sure that the option to "Allow this application to access....." is checked.  Then complete another update.
  2. To clear the rejected Time Entries you can either:
    1. Delete the time entries in Zed Office; or
    2. Temporarily uncheck the "Use Time Data to create paychecks" and do an Web Connector update and the time entries will then download and then go back and recheck the "Use time data..." option.
