How it works
The expense and time web service has two way integration between QuickBooks and Zed Office which means that your Customer:Job, Service item, Payroll items, classes, expense account lists are automatically uploaded from QuickBooks into Zed Office and approved Timesheets and expense claims are automatically download into QuickBooks from Zed Office.
The synchronization is transported over the internet securely using the QuickBooks Web Connector on the desktop to handle the sending and receiving of data.
About the QuickBooks Web Connector
The QuickBooks Web Connector is a software application that runs alongside QuickBooks and enables QuickBooks to exchange data securely through the internet with web service applications like Zed Office. The software was developed by Intuit Inc. and is provided at no charge to all users of QuickBooks products. You need to download a copy of the Web Connector from the QuickBooks website and install it on the machine on which you have you company file located on, this machine will also need access to the internet.
Setting up the QB Sync
To configure the synchronization for the first time between Zed Office and QuickBooks follow these steps.
- Login to Zed Office you will need to be the administrator level
- Choose the Admin > QB Sync menu option.
- Select from the drop down list the version of QuickBooks you are using.
- Specify the location of your QuickBooks company file that you wish to synchronise data with Zed Office. You are only able to synchronize if the file is located on the same machine as the Web Connector.
- Select the check boxes the list and transactions that you wish to synchronise, we recommend that you have all types selectede continuing. We have provided a link to the page you can download that from
- With the Web Connector successful installed, click on the icon and download the QuickBooks Web Connector (QWC) file to your desktop or QuickBooks folder. The QWC file describes Zed Office web service and your custom settings and instructs the Web Connector to start the synchronisation with QuickBooks
You have now set up and configured the QB sync feature. To ensure that this is working correctly we will need to complete the next section
Running QB Sync
The first time that you run the QB Sync it will establish the connection and ask permission to access the QuickBooks data and then will upload the list data from QuickBooks into Zed Office.
- To start the synchronization you will need to double click on the QWC file that you downloaded from the website or open the Web Connector and browse to the QWC file that you downloaded, or from QuickBooks select from the File menu Exchange data with Web Services
- The QuickBooks Web Connector application will start and the Web Service should be listed in the panel, if not then open the QWC from the file menu within Web Connector.
- You can also select whether you would like sync to run when you manually start it or automatically you can specify if set to auto-run how often that should process the update.
- You will need to type in the administrator password into the password box, the password will be the same as the password that the administrator account users to access the web service.
- Select the tick box to the right of the Zed Office web service and click the Update Selected button to start the sync process.
- The first time the update runs the QuickBooks will ask you whether you wish to grant the application access permission, click Yes always unless you wish to see this every time you perform a sync.
- During the update process you will see the application process progress bar, the first update may take some time because it has a lot of data to upload subsequent syncs should be quicker.
